POSITION SUMMARY: The receptionist/assistant optometrist is responsible for managing eye exam appointments. He/She welcomes clients, opens their file and prepares them for their eye exam by performing the preparatory tests. He/She plays an essential role in welcoming our customers by ensuring that the customer is directed to the right services throughout their visit. Depending on the traffic, he/she may be required to advise the client in the choice of his mount.

TASKS:

  • Ensure the reception of all customers in a courteous and professional manner both on the phone and on site;
  • Make appointments for optometrists;
  • Open and prepare the patient's file for his visit;
  • Perform pre-tests;
  • Enter necessary and up-to-date patient information into the computer system;
  • Communicate with the customer to inform him that his order is ready;
  • Ensure the good physical organization of work and the cleanliness of the premises;
  • Filing patient records;
  • Do the follow-ups requested by the staff on the floor;
  • Know the inventory of products in order to accompany a customer during a purchase;
  • Perform certain orders;
  • Work in constant collaboration with the sales team and professionals on the floor;
  • Track and manage the list of people to call;
  • Properly manage the call with the customer.
  • Make sure to provide them with all the necessary information so that they make the right decision;
  • Provide customers with the solutions adapted to these needs (appointments, shop/clinic, promote our services)
  • Manage dissatisfaction with his last visit and convince him to come back;
  • Act professionally at all times;
  • Enter the correct information in the computer system and on the reminder sheet in order to compile the necessary statistics;
  • All other tasks necessary for the smooth running of operations;

REQUIREMENTS

  • Completed high school diploma;
  • Minimum 2 years of experience in customer service / retail;
  • Experience as a receptionist / assistant optometrist in an optometry clinic a major asset;
  • Customer service oriented and attention to detail;
  • Communicates easily with people;
  • Ability to identify and listen to customer needs;
  • Strong sense of work organization;
  • Enjoy working in a team;
  • Versatility and flexibility;
  • Fluency with computers
